Stop the weekly VLOOKUP report, let the data update itself
If every Monday morning means exporting from two or three systems, pasting into Excel and VLOOKUPing it together, here is how to do it once and let the system repeat it every week.
Where the old report loses time
- Export sales from the sales system
- Export the customer list from another system
- Paste them into one sheet and VLOOKUP by customer code
- Chase #N/A from codes that do not match
- Pivot the totals and send the file to your manager
Every step is manual, repeated every week, and the file is out of date the second it is exported.
Excel formulas you know, and their Join Canvas steps
| In Excel | In Ruamhub |
|---|---|
| VLOOKUP / XLOOKUP | Join (a left join behaves like a VLOOKUP that keeps every row) |
| Pivot table, SUMIF, COUNTIF | Group by with sum, count, count distinct, avg, min, max |
| Filter | Filter: equals, greater than, contains, starts with, empty / not empty |
| Pasting sheets under each other | Union, up to 10 tables |
| Formula columns (IF, ROUND, LEFT) | Formula: number, text and date functions, and IF / CASE |
Build it once, use it every week
Connect the sources
Add a connection for each system. Data still in Excel is uploaded as an .xlsx or CSV file.
Build the report on the canvas
Join instead of VLOOKUP, group by instead of a pivot, and check the preview right away.
Set the target and schedule
Write the result to a report table in a writable database and schedule it every Monday at 06:00.
Everyone opens the same table
Your manager opens it in the Data Explorer or exports a CSV, or your BI tool reads the table directly.
| Run at | Status | Trigger | Rows written | Duration |
|---|---|---|---|---|
| 2026-10-05 06:00 | Succeeded | Schedule | 12,480 | 18s |
| 2026-10-02 14:12 | Succeeded | Manual | 12,377 | 19s |
| 2026-09-28 06:00 | Failed | Schedule | — | 3s |
| 2026-09-21 06:00 | Succeeded | Schedule | 12,102 | 17s |

Which plan you need
- Build and run the report by hand on the Free plan (30 runs a month)
- Running it every week on a schedule needs Dev or above (Dev schedules 3 pipelines)
- You need one writable database to hold the report table
Works well with
Pipelines and schedules
Save a Join Canvas result as a table in the database you choose, or send it as a report by email, SFTP, S3 or a shared folder. Run it by hand or on a schedule, and see every run.
DetailsReport templates
Design report pages in bands, like Crystal or Jasper, with tables, sub-reports, totals, a logo and Thai fonts, and let a pipeline send them as PDF, Excel, Word or an image in the email.
DetailsJoin Canvas
Drag tables from different databases or Excel files onto a canvas, join, filter and group them, and see the result right away.

Frequently asked questions
Do I need to write SQL?
No. Joins, filters, group by and formulas are all set on screen.
My manager still wants an Excel file. Can I send one?
Yes. Let the pipeline email an Excel file on every run, or design a report template and send it as Excel or PDF with headings and totals ready.
Will I know if a week fails?
Pipeline Runs lists every run with its status and error. There are no email alerts yet, so check after the scheduled time at first.
